1. Who We Are
These Terms govern your use of italyvisaalerts.com and the Italy Visa Alerts appointment cancellation finder. In these Terms, "Italy Visa Alerts", "we", "us" and "our" mean the operator of this website. "You" means the person using the website or purchasing a search service.
By creating an account, submitting route preferences, making a payment, or otherwise using the service, you agree to these Terms. If you do not agree, you must not use Italy Visa Alerts.
2. What The Service Does
Italy Visa Alerts provides appointment searches for supported visa routes. A search may include the application market, application city, destination country, provider, visa category, applicant count, date preferences, and other details needed to recognise a suitable slot.
When we find a slot that appears to match your saved preferences, we email you and send you an SMS using the contact details saved with your order.
For the Cancellation Finder, you are responsible for visiting the official provider or government website and deciding whether to book. Appointment availability can change very quickly. A slot may be taken, changed, withdrawn, restricted, or unavailable by the time you act.
Managed Auto-book is available only where it is shown as a service option. If you choose it, notification monitoring still starts immediately after payment. Before we can attempt to book or change an appointment, you must complete the secure post-payment provider-account setup and confirm the dates, centres and other limits we may act within. Until that setup is complete, your notification monitoring remains active and we continue to send matching alerts.
3. What The Service Does Not Do
Italy Visa Alerts is not a visa application agent and does not provide immigration advice. Unless a supported Managed Auto-book product expressly says otherwise, the service does not:
- book, reserve, hold, buy, sell, resell, swap, or transfer visa appointments;
- submit, amend, withdraw, or manage visa applications;
- guarantee an appointment, an earlier appointment, a visa decision, or a visa approval;
- guarantee that a provider will honour an appointment you book;
- act as an official representative of any embassy, consulate, government, or visa application centre;
- use your provider account to book, cancel or change an appointment.
Standard Cancellation Finder checkout does not request provider-account access details. If an exceptional route requires account-only calendar access, that requirement is identified separately and any access is limited to availability checks. It is not used to book, cancel or change an appointment.
Managed Auto-book is the exception described above. Where you select that service and complete its secure post-payment setup, you authorise us to use the provider-account access details you supply solely to attempt a booking or appointment change within your approved preferences. If you do not complete or later withdraw that setup, we cannot take managed action through your provider account, but notification monitoring and matching alerts continue for the paid service period.
You should be cautious of any person or service claiming guaranteed official appointment access. Official providers may warn applicants not to buy appointments from intermediaries. You remain responsible for checking and following the terms of the relevant provider, embassy, consulate, and government website.
4. Your Responsibilities
You agree to provide accurate and current information, including your route, contact details, applicant count, nationality or passport country, provider reference if applicable, current appointment status, and date preferences.
You are responsible for ensuring that you are eligible for the visa category and appointment route you select. You are also responsible for preparing documents, paying official fees, attending appointments, and following the official provider's rules.
If your contact details, appointment status, provider reference, date preferences, or travel plans change, you must update us promptly or contact support. We are not responsible for missed or unsuitable updates caused by incorrect or outdated information.
If you choose Managed Auto-book, you are also responsible for providing current provider-account access details through the secure setup, keeping that access available, and ensuring that you are authorised to instruct us to use the account. We act only within the preferences and limits you approve.
5. Existing Appointment Requirement
For the Cancellation Finder, you do not always need to already have an appointment. Some routes may be useful for applicants looking for any suitable slot, while other routes may work best for applicants who already have an appointment and want an earlier one. Where a route has specific requirements, we may show them on the route page, checkout page, or in support communications.
If you already have an appointment, giving us the current appointment date helps us prioritise earlier matches. It does not authorise us to move or change the appointment unless you have selected Managed Auto-book and completed its secure setup and approval steps.
6. Payment And Service Period
The price, currency, route, product, included contact method, and service period are shown at checkout. Unless stated otherwise, each service is a one-off payment for the displayed search period and does not automatically renew.
The Cancellation Finder fee covers appointment monitoring and updates. Where Managed Auto-book is offered and selected, its fee also covers managed booking or appointment-change attempts after the required secure setup is complete. Our fee does not include official visa fees, provider service fees, premium lounge fees, courier fees, biometric fees, travel costs, document costs, or any other fee payable to a third party.
7. Service Start And Completion
At checkout you expressly request that we start the service immediately after payment, before the 14-day cancellation period ends. We require that request before accepting an order, because an appointment search that begins two weeks after purchase has no value to you.
On receipt of payment we immediately validate your order, configure your route, begin monitoring the supported appointment source and prepare your alert delivery. The setup and configuration element of the service is fully performed at that point. You acknowledge this at checkout, and we record the acknowledgement, the exact wording shown to you, the time, your IP address and your device information against your order.
For every product, immediate commencement means that notification monitoring starts without waiting for any later setup. For Managed Auto-book, the managed appointment-action element can begin only when the required provider-account setup and approved preferences are available. A delay in completing that step does not delay or pause notification monitoring.
The service then runs for the period shown at checkout unless it is completed earlier under the product description, you ask us to stop, or we end it under these Terms. An appointment notification does not guarantee that you will successfully book the appointment.
The notification service is treated as delivered when we provide checking and alert coverage for your route across the paid period, or when we send an alert matching your preferences, whichever occurs first. Where Managed Auto-book applies and its setup is complete, we will also attempt the permitted managed action when a suitable appointment is found. Service delivery does not guarantee that an appointment will remain available or that the official provider will accept or retain a booking.
8. Refunds And Cancellations
Refunds and cancellations are governed by our Refund & Cancellation Policy, which forms part of these Terms.
Because you expressly request immediate commencement at checkout, and acknowledge that the setup element of the service is fully performed at that point, your right to cancel ends once the service has commenced. Refunds are not available after that point. This reflects regulations 36 and 37 of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, which permit a service to begin within the cancellation period on the consumer's express request, and provide that the right to cancel is lost on full performance following that request and acknowledgement.
Refunds are considered only where you cancel before any work has begun, where we are wholly unable to provide the service through a fault on our side, where you were charged more than once for the same order, or where you were charged an amount other than the price displayed. Outside those circumstances refunds are at our sole discretion.
A refund is not due because no appointment became available, because an appointment was taken before you acted on an alert, because you missed or could not receive a notification, because you supplied incorrect details, because your plans changed, because a provider altered its process or fees, or because a visa application was refused, delayed or withdrawn.
These Terms do not affect rights that cannot lawfully be excluded, including our obligation to supply the service with reasonable care and skill. If you believe a payment was taken in error, contact support promptly and we will review it against the order record.
9. Email, SMS And Communication
You agree that we may contact you using the email address, phone number, or other contact details you provide for service-related messages. This includes route setup, appointment availability, payment, account, support, and important policy messages.
When a matching appointment is recorded, we email you and send you an SMS.* You should keep both your email address and contact number current.
* SMS notifications are sent where SMS is available for the selected route and you have supplied a valid mobile number. SMS delivery is best effort and depends on the destination country, mobile network, carrier filtering, handset settings, roaming status and other systems outside our control. Email remains the primary notification channel.
We cannot guarantee that every email or SMS will be delivered to or displayed by your provider or device. You are responsible for checking your email, including spam or junk folders, and acting quickly when you receive an appointment notification.
10. No Official Affiliation
Italy Visa Alerts is independent. We are not affiliated with, endorsed by, sponsored by, authorised by, or connected to VFS Global, TLScontact, BLS International, any embassy, consulate, ministry, immigration authority, government, or visa application centre.
Names of countries, providers, embassies, consulates, and visa application centres are used only to identify the route or provider that a customer asks us to monitor.
11. Acceptable Use
You must not use Italy Visa Alerts for unlawful, fraudulent, abusive, or harmful purposes. You must not submit false applicant details, impersonate another person, interfere with our systems, scrape our website, attempt unauthorised access, or use the service in a way that breaches the rules of the relevant provider or authority.
We may refuse, suspend, or cancel service where we reasonably believe an order is fraudulent, abusive, unlawful, unsafe, or likely to put Italy Visa Alerts, other users, or provider systems at risk.
12. Website Content And Route Information
Route pages, blog posts, availability notes, provider notes, and general guidance are provided for information only. They are not immigration advice, legal advice, or a substitute for official provider instructions. You should always check the official provider, embassy, consulate, or government website before acting.
We aim to keep information useful and current, but visa appointment systems and official requirements can change quickly. We do not guarantee that every item of route information is complete, current, or suitable for your circumstances.
13. Limitation Of Liability
To the fullest extent permitted by law, Italy Visa Alerts is not liable for indirect losses, loss of travel plans, loss of visa fees, missed appointments, unavailable appointments, visa refusal, provider account issues, official website downtime, third-party platform problems, or losses caused by information you provide incorrectly.
Nothing in these Terms limits liability where it would be unlawful to do so, including liability for fraud or for death or personal injury caused by negligence. Subject to that, our total liability to you is limited to the amount you paid us for the relevant order.
14. Privacy And Data Protection
We process personal data as described in our Privacy Policy. By using the service, you confirm that the information you provide is your own or that you have permission to provide it for the relevant applicant group.
15. Changes To The Service Or Terms
We may update these Terms or change the service where needed for operational, legal, security, provider, or product reasons. The version displayed on this page applies from the stated update date. Where a change materially affects active customers, we will take reasonable steps to notify them.
16. Governing Law
These Terms are governed by the laws of England and Wales, unless mandatory consumer protection laws in your country require otherwise.
