The correct Italian visa appointment route usually depends on where you legally reside, the purpose and length of your trip, and the Italian consular office responsible for your area. The same applicant may therefore encounter a consulate-run portal in one country, VFS Global in another, or BLS International in a particular part of the United Arab Emirates. Before looking for an appointment, confirm the official instructions for your residence and visa type.

Why your legal residence determines the route
Italian visa applications are generally handled by the consular office or application centre responsible for the applicant's lawful place of residence. Jurisdiction can be narrower than a whole country. The Italian Consulate General in Toronto, for example, accepts applications from legal residents in Ontario, subject to stated exceptions, as well as Manitoba and the Northwest Territories. The Italian Consulate General in Vancouver lists Alberta, British Columbia, Saskatchewan and Yukon as its district.
This means that choosing a convenient city is not enough. A person temporarily visiting Canada, or living outside the relevant district, may need to apply through another responsible Italian office. The Vancouver guidance specifically says that visitors to Canada and people outside its jurisdiction should apply to the Italian consular office responsible for their place of residence.
Itinerary rules also matter for a short-stay Schengen visa. If you visit several Schengen countries, you normally apply to the country where you will spend the most time. If stays are equal, the country of first entry is relevant. Italy is therefore not automatically the correct destination for an application simply because you will enter Italy.
Ireland: Prenotami and an embassy appointment
The Italian Embassy in Dublin states that an appointment is obligatory for the visa applications covered by its instructions. It directs applicants to the official Prenotami portal and says that bookings must be made by each user through that portal. The Embassy also states that appointments are personal, non-transferable and free, and warns that bookings made through other methods will not be accepted.
Applicants in Ireland should first check the Embassy's current requirements and the Ministry of Foreign Affairs' visa information tool. Dublin's published checklist refers to evidence such as an Irish re-entry permission or Irish Residence Permit, proof of current address in Ireland, travel details and documents supporting the purpose of the visit. The exact checklist depends on the visa category.
The Dublin guidance advises booking well in advance and says that the appointment should fall no more than six months and no less than 15 days before departure. It also advises applicants to secure the appointment before booking flights or hotels, noting that the Embassy is not responsible for non-refundable travel arrangements.
For an Ireland route, monitoring can help you notice a potentially suitable signal on a supported official route. You must still use the official portal yourself, check that the slot matches your circumstances, and complete the application and attendance requirements.
United Arab Emirates: jurisdiction can change the provider
The UAE illustrates why city and emirate matter. The Italian Embassy in Abu Dhabi states that its Visa Office is responsible exclusively for the Emirate of Abu Dhabi, including Abu Dhabi, Al Ain and Al Dhafra. For relevant Schengen, business and tourist applications, eligible residents with a valid UAE visa issued by the Government of Abu Dhabi apply through the Italy Visa Application Centre operated by BLS International.
The same guidance directs residents of Dubai and the Northern Emirates to the Italian Consulate General in Dubai, which operates through VFS Global Dubai. It also states that tourist visa applicants using the Abu Dhabi BLS route need an appointment, while business visa applicants may go directly to the centre under the stated arrangements. Other visa categories may require contact with the Embassy Visa Office, and EU family members have separate instructions.
Do not assume that a BLS route in Abu Dhabi can be used by a Dubai resident, or that a VFS Global route applies throughout the UAE. Check the official office responsible for your residence, your visa category and the current booking instructions. BLS also lists optional paid services, but the Embassy states that these are not mandatory for submitting an application.
Canada: consular districts and different rules for Schengen and national visas
Canadian applicants need to identify the responsible Italian consular district and the type of visa. Toronto's guidance says that Schengen visa applicants are received by appointment and should book through Prenot@Mi. It also says that national visa applicants do not need an online appointment and should follow the instructions for submitting the application by mail.
Toronto limits applications to legal residents in its jurisdiction, including Canadian citizens, permanent residents and certain work or study permit holders. Its guidance says appointments are personal and non-transferable, with a limited exception for minors applying with their parents. It also warns that online schedules may be full and advises applicants to check regularly for slots released after cancellations or unconfirmed bookings.
Other Canadian districts have different requirements. Vancouver states that all visa services are by appointment, that applicants must attend in person, and that it does not accept walk-ins, maintain waitlists or process unscheduled mailed applications. Its guidance also advises against non-refundable travel arrangements before a confirmed interview appointment.
These examples show why a country-level search is not enough. Compare your legal residence, consular district, visa type and official route before monitoring availability. For national visas, monitoring an appointment calendar may be irrelevant where the responsible office instructs applicants to apply by post instead.
A practical route-checking process
- Confirm whether you need an Italian visa. Use the official Visa for Italy information tool, considering nationality, residence, purpose and length of stay.
- Identify the correct office. Check the Italian embassy or consulate for your lawful residence, then confirm its district boundaries and any provider it names.
- Separate visa type from appointment type. Schengen and national visas can follow different processes, as the Toronto guidance demonstrates.
- Use only the named official route. This may be Prenotami, Prenot@Mi, VFS Global, BLS International or direct contact with the responsible office, depending on the route.
- Prepare before selecting a slot. Read the current checklist, check travel timing and make sure you can attend in person where required.
